Job Summary

The Executive Assistant will enhance executive effectiveness by providing information management support, representing the executive to others.

Job Responsibilities

  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics
  • Conserve executive’s time and promote the corporate image by reading, researching and monitoring correspondence, drafting letters and documents; collecting and analyzing information, providing liaison between the executive, key executives and employees
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences and travels
  • Represent or otherwise follow the executive by attending meetings
  • Answering or directing inquiries related to the executive
  • Maintain customer confidence and protect operations by keeping information confidential
  • Provide historical references by developing and utilizing filing and retrieval system
  • Proactively manage the diary of the Executive Office, making and confirming appointments and ensuring all necessary paperwork is prepared relating to those appointments/meetings, where appropriate
  • Maintain up-to-date knowledge and understanding of the organization and its aims and objectives
  • Act as an ambassador for the brand at all times and ensure Group values are upheld to both external and internal contacts, through appropriate behavior and performance
  • Undertake any other duties as requested in accordance with the scope and responsibilities of the role
  • Observe strict confidentiality at all times
  • Carry out any other duties as may be reasonably expected by the Director and Executive Office

Desired Profile

  • Two years work experience that demonstrates the knowledge, skills and abilities to perform the essential functions of the position
  • Ability to interact with Staff at all levels in a fast-paced environment
  • Good communication skills
  • Multitasking ability
  • Open to short travel
  • Ability to work independently
  • Ability to analyze and break complex problems into smaller manageable parts
  • A good first degree. Possession of a professional qualification will be an advantage

Essential Soft Skills

  • Proficient in the use of MS Word, MS Excel, MS PowerPoint and MS Outlook
  • Must be highly analytical and have an eye for details
  • Must have good negotiation skills
  • Must be able to speak and write the English Language fluently
  • Must be a team player and a manager of time
  • Ability to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions
  • Ability to operate a standard office
